Common questions.

What counts toward my monthly meeting limit?

Each meeting you process counts as one meeting toward your plan's monthly limit. Unsuccessful uploads or canceled meetings do not count. Re-runs of the same recording do not count as an additional meeting.

What happens if I reach my meeting limit?

EasyMinutes notifies you as you approach your limit and offers a one-click upgrade. Your existing recordings and minutes always remain accessible, even if you choose not to upgrade. Once you hit the limit, new uploads are paused until you upgrade or your next billing cycle resets.

Can I bring my own template?

Yes. All plans support uploading your own template (Word or Google Docs), and EasyMinutes will match your structure, formatting, and section headings. If you don’t upload one, we use default municipal-style and board-style templates that work for most organizations out of the box.

Is my data secure?

Recordings and minutes are encrypted in transit and at rest. They are stored in your organization’s account and never used to train shared AI models. Each organization’s data is isolated — there is no cross-tenant access or data bleed between accounts. You can delete recordings and minutes at any time. EasyMinutes runs on U.S.-based infrastructure.

Can I cancel anytime?

Yes. There are no contracts. Cancel from your account settings and you keep access through the end of your current billing period.

How accurate is the transcription?

Industry-leading. EasyMinutes uses the same AI transcription engines trusted by Fortune 500 companies and produces around 95% word-accuracy for clear audio with multiple speakers. Audio quality, accents, background noise, and meeting size all affect accuracy. You can review and edit any transcript before finalizing your minutes.

How long does it take to generate minutes?

A typical 60-minute meeting is processed in under 15 minutes. Most meetings are ready in 3–10 minutes. You’ll get an email notification when your minutes are complete.

What audio formats and sources work?

Most common audio and video formats work — MP3, M4A, WAV, MP4, and others. You can upload from your computer, record directly in your browser, or paste a link to a publicly accessible recording.

Can I edit the minutes after they’re generated?

Yes. Every generated minute set opens in a full editor where you can revise text, reformat sections, add or remove items, and export to Word, PDF, or copy to clipboard. Your edits save automatically.

Do you offer minutes in formats other than English?

EasyMinutes currently generates minutes in English. Spanish is on our roadmap. If you need a specific language, let us know — we prioritize based on customer requests.

What kind of meetings does this work best for?

EasyMinutes is designed for structured meetings with an agenda — city council meetings, school board meetings, board meetings, committee meetings, member meetings, public hearings, and town halls. It handles up to roughly 12 distinct speakers cleanly. Free-form conversations and large panel discussions are possible but may require more editing.

Is there a free trial?

Yes. The Free Trial includes 2 meetings over a 14-day trial period. No credit card required to start. After the trial, you can upgrade or your account moves to a read-only state where you can still access existing minutes.
